We’re excited to announce the upcoming launch of a new Surplus Disposal Application https://surplus.bo.uiowa.edu/SurplusPropertySystem/ designed to enhance the management of disposal requests across campus. 

The system is set to release on July 31st, 2024.

Why the Change? The existing system faces several limitations:

  • It’s outdated and no longer sustainable.
  • It’s tied to an obsolete Point of Sales system.   
  • It only works on Mozilla browsers.
  • Uses legacy workflow and the University requires all application to transition to Universal.

What’s New? The new application includes several enhancements:

  • Integrations: 
    • Identify Data Warehouse (IDW): Pulls people data, departments and building data to easily populate request form and building selection for pick-up.
    • Capital Asset Management: Pull asset information directly into disposal requests.
    • PeopleSoft General Ledger (PSGL): Validate MFK codes.
    • Universal Workflow (UW): Streamlined routing for approvals. Note – This has been communicated to Workflow Administrators.
  • Legacy Routes: Copied into UW for offices, including sublevels.
  • MS Outlook Integration: Schedule self-deliveries and add to your calendar.
  • User-Friendly Features: 
    • Helpful hints throughout the application.
    • Training videos for each menu item.
    • Mobile compatibility for creating requests and scanning tags.
    • Bidder portal for scheduling pickups.   

New Form Requirement/ MFK:  A single Master File Key (MFK) is required for all disposal requests.  This will be used to determine workflow routing and used as the MFK if a reimbursement is applicable.  The application allows for users to create and store favorite MFK’s in their user profile.  By creating and storing a favorite MFK, you can easily select a favorite MFK when creating disposal requests.  It might be helpful to work with your accounting contact to obtain the MFK/s that your office may use when creating disposal requests and get those added to your favorites.  Please see training script for instructions on how to add a favorite MFK .

Impact on Processing Times: During the transition, there may be delays in processing disposal requests. To minimize inconvenience, submit time-sensitive requests using the current system before the end of the work day on Friday, July 27th.

Training: The Surplus Disposal Application is intuitive, with training videos available under the Help tab. We believe the videos will provide the training for users to quickly adapt. The user experience should feel familiar as the content and required data is similar to that of the current form.
